Managing My Day the Hybrid Way

When it comes to managing you day, some people will tell you that you’ve got to choose. Either paper or digital. The advocates of paper will tell you that it’s tactility, speed and nostalgia unleash mountains of productivity. On the flip side, the digital natives argue that your system should be with you at all times and as a result, digital is the way to go.
What if you could have it both ways?
I purchased Shawn Blanc’s course on Things 3 a few months back. It’s excellent, it really is. He includes a few videos about how he manages his day and he uses the phrase “hybrid productivity” which I like very much. After watching him in the course, I realized that I’ve been using something similar for at least a few years now. Rather than having to choose between either paper or digital, I’ve built a productivity system that utilizes both.

Here are the components:

Paper:
  • Michael Hyatt Full Focus Planner. I use this for the ritual of writing down my appointments and keeping some very basic notes. It’s also useful for meetings.
  • Simple pads of paper. This is for scribbling, longer-form note taking and a space to think creatively. Cheap pads of paper work best as I like to tear out the pages and toss them in the trash with gusto!
Digital:
  • For work: Todoist. This is for project management, task delegation and in general, staying on top of things.
  • For personal: Omnifocus. Like with work but much, much simpler. I have but a few projects here.
  • Google Calendar: For appointments and events.
  • Gmail/Spark Email: For Email.
  • Google Drive: For reference material, agendas and reports.
As you can see, this system works for me. It allows me to be creative, flexible and mobile. Best of all, it helps me to be as productive as possible.
